Please note that Healing Notes Therapy does NOT provide the following services under any circumstances:

We recognize that seeking the right support can feel overwhelming, and we approach these conversations with care and respect. Our priority is to support families wherever possible, while maintaining a strong commitment to ethical and responsible practice. This means we work only with clients when we are confident that we have the appropriate skills, experience, and clinical resources to provide effective and safe care.
In some situations, we may recommend other clinics or professionals who are better equipped to support your family’s specific needs. Our goal is always to help you access the most appropriate care, even if that care is not with us.
If your family is experiencing challenges navigating services or resources for a loved one, we encourage you to consider booking a Single Session Therapy appointment. Our clinician is happy to provide case management consultation, guidance, and practical recommendations to help you navigate available supports more effectively.

Yes, we offer a limited number of sliding scale spots for individuals and families who are experiencing financial hardship and do not have access to insurance coverage or other funding sources, including Ontario Autism Program (OAP) funding.

Your appointment time is reserved specifically for you. A late cancellation, late rescheduling or missed visit creates a gap in the therapist’s schedule that could have been filled by another client. Therefore, we require at least 48 hours’ notice for any cancellations or appointment changes including rescheduling of appointment.
Unless due to an emergency, inclement weather or illness, clients who provide less than 48 hours’ notice will be charged a cancellation fee equal to half of the session fee, billed to the card on file. In the case of a no-show, the full session fee will be charged unless due to an emergency. In person appointments can be changed to virtual sessions if you or your child are experiencing any symptoms of illness.

Yes, we provide both in-person and virtual services to meet with various needs of families. Our office locates at Unit 333, Building E of Times Square at 550 Highway 7 East in Richmond Hill, ON.

Yes, in-home sessions are available on a very limited basis. Please note the following conditions apply:

Latest session start time is 2:00 PM

A virtual or in-person office meeting is required prior to any in-home session. This initial meeting allows us to get to know your family, understand your needs, and ensure that in-home support is the right fit before we visit your home.

Finding the Right Fit

When choosing a therapist, look for someone who has experience with your specific concerns and makes you feel completely comfortable. Therapy should be a process where you feel genuinely seen, heard, and valued. While a therapist may gently challenge you from time to time to help you grow, you should always feel deeply respected and safe in their care.
Most importantly, robust clinical research shows that the therapeutic relationship, aka. the human bond and "good fit" between you and your therapist, is the single most important factor contributing to positive outcome(s) in psychotherapy. Studies show that a strong, supportive connection with your therapist is what truly predicts meaningful growth and enhanced well-being.

Both Registered Psychotherapists (RP) and Registered Social Workers (RSW) are fully qualified to provide psychotherapy in Ontario. The main difference is their regulatory colleges: RSWs are registered with the Ontario College of Social Workers and Social Service Workers, while RPs are with the College of Registered Psychotherapists of Ontario (CRPO).
When choosing a therapist, their basic degree is only part of the story. It is much more important to look at their additional certifications/ specialized training, and whether they receive ongoing clinical supervision to ensure they are the right fit for your specific needs.

Both Registered Psychotherapists (RP) and Registered Psychotherapists, Qualifying (RPQ) have completed their Master’s degree in psychotherapy. The main difference lies in their exam status and clinical experience. An RPQ is a practitioner who is required to work under the guidance of a clinical supervisor while preparing for their registration exam. A full RP has successfully passed this exam and completed their initial clinical hours. Depending on their total hours, an RP may still receive clinical supervision until they achieve independent practice status, at which point they can practice entirely autonomously.

Play is a child’s natural language, allowing them to express their inner world long before they can put complex feelings into words. Grounded in specialized psychological theories, play therapy provides a safe environment for a child to explore challenges at their own pace.
To understand how true play therapy works, it helps to know what it is not:
It is not just "playing with toys." Simply utilizing toys in a room or using random interventions under the umbrella of "play" does not make it therapy. True play therapy is the intentional, structured use of toys and clinical theory to help a child heal, built entirely on the foundation of a strong therapeutic relationship.
It is not a way to get children to talk. Parents often wonder if play is just a trick to get kids to open up verbally. While talking often happens naturally as a child progresses through play therapy, verbal communication is not the most important objective. The play is the communication.
Within the safety of this relationship, play becomes the primary tool that helps children process heavy emotions, develop an emotional vocabulary, and unlock their natural resources for long-term healing.

Music Therapy
Music therapy uses music to help you or your child grow, communicate, and feel better. You do not need to be "good at music" or know how to play an instrument to benefit from it. Instead of just sitting and talking, we use simple musical experiences, like listening to a favourite song, writing down thoughts as lyrics, or playing with rhythms, to help manage stress, express heavy feelings, and build new skills. It is a proven, research-backed practice tailored entirely to what feels comfortable for you.
Music Psychotherapy
Music psychotherapy takes those same creative music tools and brings them directly into a mental health therapy framework. Simply put, it is the intentional use of music therapy activities inside a psychotherapy treatment. When talking about tough experiences or big emotions feels overwhelming, exhausting, or impossible, we blend music and talk therapy together. This helps you safely explore your inner world, process deep challenges, and heal in a way that words alone cannot always reach.

Theraplay® is a playful, relationship-focused type of therapy designed to strengthen the emotional bond between a parent and their child. Instead of sitting down to talk about big feelings, Theraplay® focuses on doing active, fun, and caring games together in the room. It is built to mimic the natural, healthy interactions that build a child's sense of safety, trust, and self-esteem.
Guided by the therapist, parents and children participate in activities based on four simple areas:
Structure: Creating safe, clear boundaries so your child feels secure.
Engagement: Offering playful, focused attention that brings shared joy and connection.
Nurture: Providing gentle care and comfort to soothe and calm your child's nervous system.
Challenge: Helping your child try new things in a supportive way to build confidence and resilience.
Because Theraplay focuses on hands-on, in-the-moment interactions rather than verbal processing, it takes the pressure off "talking." At our clinic, neurodivergent-affirming therapy means that your entire therapeutic experience is intentionally tailored to honour and support exactly how your unique brain works. Instead of asking you to fit into a traditional, neurotypical mold, we customize everything to fit you, including your preferred way of communicating and your specific sensory needs.
Our sessions are grounded in polyvagal theory (understanding how your nervous system responds to safety and stress) and a "bottom-up" approach, which means we focus on calming and regulating the body and nervous system first, rather than just forcing you to talk through or analyze your thoughts. Our trauma therapy is an integrative, evidence-based blend designed to heal both the mind and the body. Because trauma impacts every part of a person, we combine structured and expressive, creative modalities like Trauma-Focused Cognitive Behavioural Therapy (TF-CBT), play therapy and music therapy.
Our practice is deeply grounded in polyvagal theory (the science of how our nervous system handles stress and safety) and heavily inspired by pioneering voices in the field, including Dr. Bessel van der Kolk’s The Body Keeps the Score and Dr. Judith Herman’s Trauma and Recovery.
We operate from the core belief that the body stores the pain and stress of what you have experienced. As trauma cuts off our connection to ourselves, a vital part of our work is helping you safely bridge the gap between your mind and your body. No, a referral is not required. You are welcome to book directly through our online booking system or contact us through our contact form or email at info@healingnotes.ca without a referral from your family doctor or any other healthcare provider.
However, if you feel it would be beneficial for another member of your child's care team (e.g. family doctor, pediatrician, psychologist, speech and language pathologist or occupational therapist) to initiate or coordinate the referral process, they are welcome to complete our referral form and submit it directly to info@healingnotes.ca.

Yes! We offer a complimentary 15-minute consultation for new clients, a relaxed, no-pressure conversation to help us both get a sense of whether we are a good fit before jumping into a full session. You can choose to connect by phone or video call, whichever feels more comfortable for you.

It depends on your family's decision-making arrangements, and it is something we take seriously. Decision-making responsibility (formerly known as custody) determines who can legally consent to a child's healthcare, including therapy. We cannot accept a parent's self-claim of sole decision-making responsibility. Documentation such as a separation/divorce agreement or court order is required during intake.
Every family's situation is different, and if your child is 12 or older, their own willingness to participate is also taken into consideration.

First Session (including the parent intake session, the “trial session”, the intake and assessment session): 60 Minutes
Individual session* / Caregiver Coaching & Psychotherapy session: 50 minutes
Children aged 6 and under for any types of session: 30 minutes, unless your child shows a need for longer session
Sessions with 2 or more attendees (Caregiver Coaching & Psychotherapy, or Family Therapy): 60–75 minutes recommended

What to Expect

The first session looks a little different depending on who we are working with. Here is what to expect:
Children (Ages 2–11)
The first session is a parent-only intake, no child present. This gives you space to share your concerns openly, review your child's developmental history, and ask questions. After that, we schedule a session with your child for assessment. You will then receive feedback and a personalized treatment plan with therapeutic goal(s).
Youth (Ages 12–17)
For teens, the intake process is a little more flexible. The primary caregiver/parent can choose to meet the clinician before or after your teen's first session, whichever works best for your family. Your caregiver meeting will cover your perspective on what your teen is going through, their developmental history, and your family dynamics. If your teen is hesitant or resistant to the idea of therapy, that's okay (It is more common than you might think). The clinician is happy to brainstorm with you on how to introduce therapy in a warm and approachable way that feels less intimidating for the youth.
Adults
The first session is a straightforward conversation. We go through consent, gather some background information, and explore what you are hoping to work on together.

Children (Ages 2–11):
We recommend weekly or bi-weekly sessions to keep momentum going and keep the therapeutic work fresh in your child's memory.Please note: if sessions are spaced monthly, therapy tends to shift into a maintenance role rather than active progress, and the clinician may need to rebuild from previous sessions each time. For the best outcomes, more frequent sessions are encouraged for this age group.
Teenagers and Adults:
Frequency depends on the nature and severity of your concerns. If you are navigating more significant mental health challenges, or would like to proceed with trauma therapy, weekly or bi-weekly sessions are recommended. Otherwise, bi-weekly, every three weeks, or monthly sessions are available. We follow your pace and comfort level. -
Honestly, there is no one-size-fits-all answer. Anyone who gives you a guaranteed number is likely oversimplifying. Progress in therapy depends on a few key factors:
Consistency of attendance: regular sessions build momentum and keep the work moving forward
Application between sessions: the real growth often happens outside the therapy room, when strategies and new ways of thinking are practiced in daily life
Openness to change: when clients and caregivers come in with a willingness to try new approaches, progress tends to follow naturally
When families are consistent and actively applying what they are learning, meaningful changes can often be seen within 8 sessions.
As for how long therapy lasts, that really depends on you. Some families work through their goals and wrap up within a few months. Others find that life brings new challenges, and they return for occasional check-in sessions to recalibrate and get back on track. There is no pressure to commit to a set timeline. Therapy moves at your pace.

We use a flexible family therapy model where session attendance is guided by your family's needs, availability, and the clinician's judgment. There is no one-size-fits-all approach. Your clinician may meet with one family member at a time or any combination of family members, depending on what feels most therapeutic and practical for your family.
Toddlers, preschoolers, and neurodivergent children: We recommend caregivers attend the whole session to actively strengthen co-regulation and connection with their child, unless there is a clinical need for individual processing of negative experience.

We see parents and caregivers as essential partners in the therapeutic process, not just observers. As the most important co-regulators in your child's life, caregivers play a key role in helping their child practice strategies, build new habits, and stay accountable between sessions. This applies to teenagers too, not just younger children.
Even when your child attends individual sessions, we encourage caregivers to stay connected to the process through regular check-in conversations or separate parent sessions with the clinician. The more engaged caregivers are, the more progress we tend to see.

At Healing Notes Therapy, we believe that the therapeutic journey does not always start with the person who is struggling. Sometimes the most powerful first step is supporting the people around them. Through our Caregiver Coaching and Psychotherapy sessions, we work with parents and caregivers to provide guidance, practical strategies, and emotional support for navigating how to best support a family member who may not yet be ready to seek help themselves.
When the family system shifts, the individual within it often does too.
Fees & Billing Details

Fees may be paid by debit card, credit card, or e-transfer. For in-person appointments, payment can be made easily by tapping your card on our payment machine. For virtual sessions, the fee will be securely charged to the debit or credit card on file. If you prefer, you may also request to pay by e-transfer for any appointment.

At this time, Healing Notes Therapy does not offer direct billing. As Registered Psychotherapists, our services are provided under a pay-and-submit billing structure. This means payment is made at the time of your session, and you may then submit your receipt to your insurance provider for coverage, based on your individual benefits plan.
After each appointment, you will receive a detailed receipt that includes all required information, such as the therapist’s name, professional designation (Registered Psychotherapist), registration number, service date, and fee. Most major insurance providers accept these receipts, and claims are typically processed within 2–5 business days after submission, depending on your insurance company. We encourage you to confirm specific timelines and coverage details directly with your insurer.

For families without insurance coverage, or for those who have reached the limit of their insurance benefits, we offer a limited number of sliding-scale spots for individual psychotherapy sessions, caregivers coaching and psychotherapy sessions and family therapy sessions. However, we do NOT provide sliding scales for single session therapy service. Availability is assessed on a case-by-case basis, and proof of income may be required.

The OAP funding covers most services provided to the child at Healing Notes Therapy, including individual psychotherapy sessions, caregivers coaching and psychotherapy sessions, and family psychotherapy sessions. The parent/primary caregiver is recommended to confirm coverage details including eligibility and reimbursement details with the OAP coordinator.

For virtual appointments, the session can only be billed under the name of the individual who participates for more than half of the appointment duration. If requested, we are happy to include a note on the invoice indicating who attended the session.

Invoices can only be issued under the name(s) of the individual(s) who attended the session. If requested, we can include a note on the invoice indicating that the appointment was a “caregiver session regarding [child’s name]”, which may be helpful for insurance claims or reimbursement through Ontario Autism Program (OAP).

At Healing Notes Therapy, we are committed to upholding the highest professional and ethical standards. To ensure we remain in good standing with insurance providers and protect the integrity of your benefit plan, we follow a careful billing process designed to prevent any misuse or errors.
Before processing payment, the clinician will confirm the name of the invoice recipient. Once a receipt has been issued, the name on the receipt cannot be changed.
